How are you guys? Well, alhamdulillah I'm find but like usual, my skin getting flaky because of eczema. So, please pray for me ;)
Btw, I'm currently on my way to third year in Chemical Engineering and like we all know, KPM prohibit any university to conduct learning face to face, it's basely online learning. So, here I am, in my house doing online learning, assessment, tests, quizzes. I really hope that we permitted to be in university and learning face to face, but well this is for the best. Hope Covid-19 end well insyaAllah.

For the
first time ever, UTP Virtual Orientation Week (V’OW) were held on the 1 June
2020 and 2 June 2020. 59 UTP students were involved as facilitators and have
volunteered to be apart of the team a month prior before the event. Even though this was the first orientation
week done virtually, however the number of facilitators involved for V’OW May
2020 were almost the same as the previous UTP Orientation Week. The High
Committees of V’OW May 2020 were consist of a project director which
representing Student Representative Council (SRC), a secretary, Assistant
Project Directors from Residential College Support Unit (RCSU), MedTech and
Rakan Masjid UTP, Head and Deputy Head of Facilitator. A
lot of preparations and strategies needed to be done well by facilitators, High
Committees of V’OW and UTP Management.
Therefore, to ease the flow of Orientation Week, there are
two departments created which were Activities and Games Department and Welfare
Department. The main purpose of Orientation Week facilitator is to assist
the new intake, however being in departments they played another role too. The
objective of Welfare Department in V’OW have slight difference from previous
Orientation Week, which were to assist students, in term of any flaws in
registrations and finance, and to keep tab on their welfare. To ease their
registration and help in assisting problems, Welfare Department are one of the
spokesmen between UTP Management and new intake students. Whereas, Activities
and Games Department helped in assisting modules and virtual activities. Within
the department, they were divided into 2 units, which were Activities Unit and
Games Unit, and in the unit themselves they were divided into a smaller
sub-unit which were Logistic, Ceremony and Protocols and Public Relation. These
modules were created and prepared by UTP Management and the flows of the modules
were prepared by Activities Unit. While in the contrary, Games Unit prepared
virtual games that can be used for bonding session and conducted challenges
which the prizes were prepared by the Centre for Sudent Development (CSD). Some
of the games suggested were Gartic.io, Quizzis and Werewolf in Telegram. These
challenges were conducted in all social medias and there were rules and
regulations needed to follow in order to win the prizes.
Approximately
around 500 new intake students have registered as a UTP student. In order to
ease V’OW, new intake students were asked to join few groups in social medias
such as Telegram and Facebook group. As usual, every orientation week there
will be Buddy Group which consist of Senior Buddy, who are the facilitators of
the Orientation Week, and Junior Buddy, who are the new intake students. 33
Buddy Groups were formed based on list names provided by Registra which consist
of 15-18 students excluding facilitators. The role of Senior Buddy is to assist
and help new intake students in familiarizing with UTP systems and act as a
peer helper also, as they are new to university’s life. Therefore, in order to create
bonding between them, facilitators were encouraged to create Whatsapp buddy
group and conducted any virtual games or bonding activity through videocalls.
To
receive Orientation Week kit, the new intake students were required to complete
the modules before the end of V’OW and they will complete them in Ulearn, which
is one of UTP Website. These modules will be conducted either individually or
in group, which depends on their Buddy Group. However, at the end of the
module, there would be Question and Answer (Q&A) Session with the UTP
Management to clarify any enquiries. Therefore, this session, which includes
any formal session with UTP Management, was conducted via Microsoft Team. Whereas,
for sharing sessions between current UTP Students and the new intake students,
these sessions were conducted using Streamyard and Facebook. Streamyard are
used to control the flow of the session as they are for the moderator and
speakers. As for the viewers, they will watch the session through Facebook
Group. Usually, the new intake students are quite shy in asking question to the
management. Therefore, there are some slots provided for the facilitators to
conduct Buddy Group Session, which were Easy and Free Slot and FAQ session.
These sessions were used either to explain any frequent asked question (FAQ) by
the UTP Students, bonding session between senior and junior buddy or as a
sharing session from an experienced UTP students to the new intake students.
After
the orientation week, facilitators of V’OW May 2020 received positive feedbacks
and even the Buddy Group Session were still conducted. These experiences are so
valuable as it is a challenge for us, being the pioneer for this Orientation Week.
I believed, these experiences and knowledge can be used for the upcoming
Virtual Orientation Week as we have documented every document and postmortem of
the event. Being a facilitator for Orientation Week is truly a challenge but it
is also a pleasure for us. Most of the facilitators enjoy being a facilitator and
I believe no one has regret being one.
